Guideline for Abstract
Free Paper Competition Submission for KONAS XX PERHATI-KL
The KONAS XX PERHATI-KL Committee is pleased to announce the opening of submissions for the Free Paper Competition in the following categories:
Categories:
- Category 1: Oral Free Paper (OFP)
- Eligible Participants: ENT specialists and other specialists
- Category 2: Resident Free Paper (RFP)
- Eligible Participants: ENT residents, other medical residents, and general practitioners (GPs)
- Category 3: E-Poster (EPO)
- Eligible Participants: Specialists, residents, GPs, medical students, and other health professionals
General Submission Guidelines
Before submitting your abstract, please carefully read the rules outlined below. These guidelines apply to all categories
General Rules
- Original Work: Abstracts must not have been previously published at the time of presentation
- Ethics Approval: All human or animal research must have ethical clearance and adhere to the Declaration of Helsinki. The Institutional Review Board (IRB) number must be included
- Clinical Studies: Authors must confirm ethical committee approval for clinical studies
- Copyright: Abstract copyrights will be assigned to PERHATI-KL. Authors are responsible for resolving any copyright conflicts with other associations
- Property Rights: All accepted abstracts, including figures and tables, become the property of PERHATI-KL and are protected by copyright
- Data Access: The committee reserves the right to request raw data for statistical evaluation
- Submission Deadline: Abstracts must be submitted by August 1, 2025.
- Withdrawal: To withdraw an abstract, email the committee before October 1, 2025 at konasperhatikl2025@pharma-pro.com
- Submission Portal: All abstracts must be submitted through the this website
- Notification: Authors will be notified of abstract acceptance or rejection via email by konasperhatikl2025@pharma-pro.com
- Presentation Format: The committee reserves the right to modify the presentation format from the author’s initial request
- Guidelines & Schedule: Presentation guidelines and schedules will be shared with the acceptance letter and upon participant registration
ABSTRACT GUIDELINES
- Language: All abstracts must be submitted in English, including the title, body, and author affiliations
- Submission Portal: Only abstracts submitted via the designated website will be considered
- Cancellations/Changes: Name changes or cancellations must be submitted by email at least three months prior to the congress at konasperhatikl2025@pharma-pro.com
- Systematic Reviews: Systematic reviews must meet the following criteria:
- Clearly defined clinical question using the PICO format (Population, Intervention, Comparison, Outcome)
- Comprehensive literature search and bias assessment
- Clear description of key findings and relevance to clinical practice
File Format & Naming Convention
- File Format: Abstracts must be submitted as a Word document (.doc or .docx)
- File Naming: Name your abstract file using the following format:
CategoryCode_PresenterName_ShortAbstractTitle
Example: OFP_JohnDoe_Cochlear Implant Performance in Children
Abstract Format
- Word Limit: Abstracts should not exceed 300 words or 3,000 characters, including spaces, tables, and graphics. Each image or graphic will count as 500 characters
- Title: The title should reflect the topic clearly. Avoid using institutional names in the title. The title and abstract should be in sentence case, except for abbreviations
- Font: Use Times New Roman, 11 pt
- Authors & Affiliations: Include the name, department, institution, city, and country in English.

- Introduction & Objectives
- Materials & Methods
- Results
- Conclusion
Avoid phrases like “Results will be discussed.” Clearly describe findings with sufficient detail
Proofreading & Editing
- Proofreading: Ensure accuracy and thoroughly review the proof copy after submission
- Editing: Abstracts will be published as submitted, except for basic English spelling checks. No edits will be allowed after the submission deadline

Abstract Selection
Notification of the Abstract Selection Committee’s decision will be sent by September 8th , 2025 via email to the Submitting Author, regardless of the outcome
Registration/Attendance Requirement
The Presenting Author (Oral or E-Poster) must register for and attend the Congress. Registration must be completed by August 15th, 2025 . If a Presenting Author does not register by the deadline, all accepted abstracts by that Presenting Author will be removed from the program
Podium Poster Presentation Guidelines KONAS PERHATI-KL 2025
- Please create the e-poster in portrait orientation, with sizing according to the graphic below (1080x1920), maximum resolution 300 dpi
- The file should be named according to this format: “yourName_Abstract Code”, for example, “Daniel_A-9999”.
- Add the logo of PERHATI-KL and the logo of PERHATI-KL at the top right or top left of the poster (figures attached in the email).
Font size guideline:
- Presentation title 24
- Rest of presentation 16
Otherwise, there is no specific format for the poster content or design
- E-poster in the form .jpg, .jpeg, or .png with a maximum size 8 MB, must be uploaded to the participants’ respective PERHATI-KL accounts. Uploaded files may be revised by re-uploading a new file:
- Sign in to presentation submission using the email and password previously sent to your email
- In the dashboard page, you can submit your file in the “Podium Poster Presentation” section
- Final revisions must be uploaded before September 19th, 23:59 pm Strict adherence to this schedule is essential
- Each presenter will be given 4 minutes to present and 1 minute for a Q&A session (5 minutes in total).
- The presentation and Q&A session is conducted in English
- Participants should bring a back-up file in the form of flash drives during the presentation
- Failure to comply with the rules will result in disqualification. No exceptions will be granted
